Q&A

Date ReceivedQuestion Answer
2024-03-06 00:00:00In the proactive package , there are some empty slot for some school and they are yellow. Is that mean there is something to do in those schools or no number was given . Do I have to go find them and report them out?Yellow highlighted rows = nil asset data. If awarded, data capture will be required from successful awarded contractor with a variation to quote.
2023-09-26 00:00:00Coud we provide proactive services for stair nosings, tactile ground indicators & entry mats in your schools as T\there isn't any package issued for these yet?
Can we offer free audit / evaluation services as part of the process to enable Evolve FM to ensure that all the nosings & tactiles are standard (AS1428)?
As per the Proactive Maintenance we are going out for requesting a single price for a Lumpsum costing for the visual inspection of the entire school, these 4 will range from Primary to Secondary High Schools. And on the back of the visual inspection we can then raise Reactive WO to complete the damages as part of the inspection done
2023-09-26 00:00:00In regards to the Pest Control tender -Is the tender just a visual inspection yearly of the pest control assets? Do you have a list of these assets (Bait stations, ant caps) and quantities to assist us in pricing?
Also pest control usually requires 3 monthly sprays and monthly refilling of the bait stations, is this included in this tender
For the 1st year the contract will require a visual inspection and asset capture of the management system they have onsite, this said we can raise a Reactive Workorder for the asset servicing after this have been completed. Currently no as this service request is new on the contract, as mentioned in the first question we will require a asset capture. At the moment on the back of the 1st year inspection their will be a mitigation plan to be provided to the client SINSW we are still awaiting a action plan from SINSW if these will be raise for the frequency of the pest management plan.
2023-09-26 00:00:00Do we provide an hourly rate for the pest control work to be performed as without a site visit to each school, it is not easy to provide a full year price for the annual pest control?
Just on the Proactive Service the department require in the 1st year, we require a site inspection to capture asset and frequency of the Pest Control management currently at the school, and on the back of the inspection we can then raise a workorder for the mitigation and recommendation part or the initial visit.

2023-08-01 00:00:00A question for compliance regarding clause 8.2 © in Annexure 4 - this was a departure we submitted, but never received a response about. We can't co-insure SINSW under our PL insurance Please proceed with the submission of tender documents excluding the co-insurance component. To ensure complete transparency, we have already raised this matter with SINSW and are currently awaiting their feedback and guidance on the co-insurance issue. As soon as we receive an update from them, we will promptly inform you of their decision. In the meantime, while we wait for SINSW's response, we will proceed with evaluating the rest of the tender submission and continue with the onboarding process as planned.
2023-07-31 00:00:001.We have downloaded the Reactive tender and see there is no tender close date for both Sydney and North Sydney. Does this mean we can send it through after the Proactive deadline of 2/8/2023?
2.We have schools that have called us due to graffiti removal required (we had a long term relationship with the school and so the school called us) but when the school placed a job order in and requested us Evolve sent out another company. If the tender is still open why then is another company given the work and not a company a school trusts for many years? How the other company get preference given the tender is still open? How does my company come on board to receive work until these tenders are resolved? We have worked for government schools for twenty years and now all work has ceased
3.There are downloads in PDF that we cannot open, can you send us editable ones please?
1.When SINSW advises to close, reactive tenders are ongoing; please submit your reactive tenders when all your documents are ready don’t wait in the meanwhile our team will evaluate the tender pack.
2.This question pertains to the Operations team I will get back to you once I received advise from them. (Escalated to Rodney to advise)
3.Please download the tender pack again. We haven't received any issues from other LC regarding the PDF files. Some sections of the PDF contain drop-down boxes for selection, while other fields are intended for entering rates and signatures.

2023-07-31 00:00:00I was hoping someone could please point me in the right direction.
Prospace Innovations offers quite unique services as operable wall technicians. We have been providing operable wall services to several school contract areas over the years, and as specialists we are familiar with all brands and styles of operable walls.
We understand the requirement to retender so that we can keep providing our services and we are happy to do so, however we can’t seem to find an appropriate category / item number to use for the services we offer. Can someone please call us to discuss?
I understand that you are facing challenges in finding the relevant service within the tender pack. Please find the closest service that aligns with our specific requirements.
Had a phone conversation with the LC, addressing and resolving their doubts.
2023-07-31 00:00:00I wanted to make contact to get some further information on the proactive and reactive works currently out for tender of which you have been nominated as the FM for.
We currently service quite a few schools air conditioning and refrigeration works and they have advised us of the changes coming. I have logged on to look into submitting pricing for the tender, but cannot find much information on the process.
Can you help me with this query
Access the SINSW Proactive Maintenance Standards document.
Look for Service Number #15 within the document.
Under Service Number #15, you should find the Proactive service description.

2023-07-31 00:00:00I am an AQF5 Arborist tendering for works in the regions that will be managed by Evolve. Can you please clarify the following statement in the mail out regarding tenders; "For each proactive service listed below, we will need to advise businesses in the tender that an initial Reactive callout will be issued to capture the asset data and marking of location services in year 1 only."
Does this mean that every tree on a site needs to be tagged and numbered, but only in the first year, and if so, do we have the ability to change our rates between the first and successive years in the tender?
BTW I have been involved in the tree risk assessment process since its inception and the tagging and numbering of all trees is a useless process that not only costs a lot more but also causes long term damage to trees. What's more, people remove tags and it is, most of the time, impossible for the tags to be replaced as identifying trees in line with the original report is impossible. I just thought I should mention it.
There is no category for AQF5 Arborists in the Proactive Returnable Schedule under Schedule Item No?
I understand that you are in need of assistance with locating the category for AQF5 Arborists in the Proactive Returnable Schedule under Schedule Item No. for the tender submission. I'm here to help!
To find the appropriate category, please follow these steps:
Access the Returnable Schedule on the tender submission platform.
Select your region or location from the available options.
Under Schedule Item No., choose "Tree Services" from the list.
Enter the applicable rate for AQF5 Arborists.
By following these steps, you should be able to locate the correct category and submit the tender successfully.
2023-07-30 00:00:00I am trying to access the link for proactive tender, i have submitted my documents for reactive but the proactive link is no longer there.

2023-07-27 00:00:00Hi,Can someone call me as you don't have a phone number. There's large parts of the tender / registration files make no sense to me. There is a file listing schools none of which are in the Northern region as far as I can see. Then theres terms and data I need to enter and Im not sure what I am even supposed to write. All I would like to do is offer my services as a plasterer / drywall / gyprocker to patch / replace / repair then paint. walls ceilings , bulkheads etc etc.The documentation doesnt make sense.Robert East-tel 0424648857Currently we haev updated all the tender packs to incorporate a checklist to all trades service we require for the Reactive tender open on our website. 2023-07-27 00:00:00Hi there,I was wondering if someone could please give me a ring about the above, just need to confirm the proactive tender process.Main questions are if the lump sum amounts per school are just an amount to check and maintain as per details [yearly etc], are issues that are found then dealt with as a separate cost as reactive jobs.Say for e.g, electrical testing of safety switches, is this an after hrs job so power outages do not interrupt classes etc. Also, as per excel document, Narrabeen north school has only 22 lights on the list, is it only emergency lights the we carry out preventative maintenance on?We are looking to to capture a lump sum cost for Proactive, the listing for "Light and Fittings" we would require 1 service a year for replaceing Fluorescent tubes to the entire schools.
2023-07-27 00:00:00Paul is not able to locate the category for AQF5 Arborists in the Proactive Returnable Schedule under Schedule Item No.The services for the AQF5 will be under schedule item for "Tree Maintance" in the Proactive Returnable Schedule.
2023-07-27 00:00:00As we have been accepted as a reactive electrician, I gather we don't complete this tender application. But if we want to be a "Proactive Electrician" we need to only complete that part. Can you please confirm we only need to complete the proactive tender if we are applying for that?Yes, that’s correct you need to complete only proactive tender.
2023-07-25 00:00:00Just to confirm proactive work for Pest Control will open shortly? We will be opening the Pest Proactive in the next Tranche 2 after the Tranche 1 currently. the Service item will begin in September
2023-07-25 00:00:00I have downloaded the proactive mechanical services tender package and it has the electrical asset list and not the mechanical services asset list. Can you please send over the correct asset list. Yes correct list updated yesterday.
2023-07-25 00:00:00We have downloaded the package for the Proactive Electrical Tender and have a few questions regarding the asset list:-Unclear of what the items are ie. Electrical Accessories – Fixed & Stationery appliances-Why do some schools have RCD & ELCB but the majority don’t and of the schools that do the quantities seem outrageous.-The asset list doesn’t seem to be complete-Are we to nominate individual schools for the proactive that we won’t to tender for- We are currently contracted for the reactive tender do we need to tender again for the reactive. As discussed I have attached the amended electrical asset date list which also reflect the website we updated yesterday
2023-07-25 00:00:00I have downloaded the documents for Northern Sydney Proactive Tender and there seems to be some documents missing. 3A. SINSW – Northern Sydney School List per Region. The Sydney region is spilt into groups of schools, based on location. Each group is identified by colour and further into A and B groupings. You may choose to tender for one, or many groups of schools.4A. SINSW – Northern Sydney Schools Asset Registers. These have been provided to give indicative asset numbers per site. Can you please advise if these will be added, as I only have the school listing document so am unable to fill out the Proactive returnable schedule. Can you also advise the region ID for Northern Sydney. We have been provided furhter feedback from SINSW to withdraw the website and amend details and documents for LC Local Contractor Agreement and returnable schedules. Furthe to the amendments we have also update the schools listings.
So far Northern Sydney regon have confirm the tender pack will include groupings of 20 schools as a lumpsum cost. The Reigion Contract number is 7061005
2023-07-08 00:00:00I was just hoping to get an update on when these projects would be starting and if the final decisions had been made on contractorswe are pleased to inform you that successful tenders will now proceed to the next stage, where they will be sent to SINSW for the final sign-off on the LC agreements.
Upon successful completion of the sign-off process, we will initiate the on-boarding process, which will enable us to smoothly integrate the selected parties into the project. We are diligently working on this process, and rest assured, we will keep you informed every step of the way.
2023-07-08 00:00:00An annual lump sum amount is requested – there are x 2 services a year – are we being requested to provide a lump sum for the x 2 services ?
An annual lump sum is being requested - there is one service a year - if we submit a per unit rate ( for RCD by way of example ) for this – would this satisfy – as there are multiple schools and all have different quantities – we are uncertain how to submit one lump sum that covers all schools
Once you download the tender pack, it provides you with all the information. In the Proactive Returnable Schedule, please complete the school's name for each line, and in the rate field, you can mention the rate for the service. Separate forms are available for yearly, half-yearly, quarterly, and monthly intervals.
Inside the tender pack, you will find the School Assets Register for each school pertaining to that service.
Within the tender pack, you will find the LC Scope of Services and SINSW Service Standards.
2023-07-08 00:00:00The returnable schedule, it has a lump sum? Does this mean for every school how much the proactive maintenance will be per school annually? documents state the requirement for the proactive maintenance is once annually per school? Can you clarify this for me? "Once you download the tender pack, it provides you with all the information. In the Proactive Returnable Schedule, please complete the school's name for each line, and in the rate field, you can mention the rate for the service. Separate forms are available for yearly, half-yearly, quarterly, and monthly intervals.
